How to Add Appointments to Your Calendar So You Don’t Forget

Simple ways to get an appointment into Google Calendar, Outlook or your phone, set useful reminders and keep the details in one place.

Independent guide — not a government website. Book My Service can’t book or change appointments, and we aren’t affiliated with organizations named here. Rules and fees change — confirm with the official source before you go.

Key points

  • Use the “add to calendar” link in your confirmation when there is one — it fills in the details for you.
  • Put the address, confirmation number and what to bring in the event notes.
  • Set two reminders: one the day before and one with enough time to travel.

Many confirmation emails include “Add to calendar” buttons or an attached calendar file (often ending in .ics). Opening it in your calendar app creates the event with the date, time and location filled in. Check the result: the time zone, address and title should all be right.

Adding it yourself

If there’s no link, create an event manually. Google’s Calendar Help explains how to create events on a computer or a mobile device; Outlook and the calendar apps on phones work in a similar way:

  1. Open your calendar app and create a new event on the right day.
  2. Set the start and end time — include travel time if you like, or create a separate travel block.
  3. Add the location (full address, building and suite) so you can open directions with one tap.
  4. Add notes (see below).
  5. Set notifications.

What to put in the notes

  • Confirmation or reference number.
  • Phone number or link for the organization, copied from your confirmation.
  • What to bring — for example ID, forms or test preparation such as fasting.
  • Parking or check-in instructions.
  • Any video-call link and passcode.

Having this in one place means you don’t need to search your inbox on the day.

Reminders that work

A good default is:

  • The day before — time to gather documents and plan travel.
  • Travel time plus a buffer before the appointment — for example 90 minutes before if your journey takes an hour.

For appointments booked weeks ahead, add a reminder a week before too, in case you need to reschedule.

Sharing with family

If someone else is driving you or needs to know, invite them to the event or share the calendar. Shared family calendars help when parents manage children’s appointments.

Keep it tidy

When you reschedule or cancel, update or delete the event straight away. A stale calendar entry is a common reason people turn up on the wrong day.
